{"id":948,"date":"2024-01-26T18:42:21","date_gmt":"2024-01-26T16:42:21","guid":{"rendered":"https:\/\/wellnessunityhub.com\/?p=948"},"modified":"2024-01-26T18:42:21","modified_gmt":"2024-01-26T16:42:21","slug":"roles-settings","status":"publish","type":"post","link":"https:\/\/wellnessunityhub.com\/documentation\/2024\/01\/26\/roles-settings\/","title":{"rendered":"Roles Settings"},"content":{"rendered":"\n<p class=\"has-neve-link-hover-color-background-color has-background gutenify-section-fedbdfe0-bc67-11ee-a6f8-7d07b9e1e3ef\">Roles Settings are currently divided into two tabs: Employee and Customer, based on these two user roles.  You might not have access to this on your subscription, but this is a guide for you to understand what is possible with your booking configuration.  You can ask your service administrator should you require any of these settings changed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading gutenify-section-3447de90-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>The Employee<\/strong>&nbsp;tab has the following options:<\/h2>\n\n\n\n<ul class=\"gutenify-section-28877250-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-2886fd20-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Configure their services&nbsp;<\/strong>\u2013 This option allows your employees to choose services they will work on (to assign services to themselves). It is disabled by default, so in this case, employees won\u2019t see the Assigned Services tab in their profile. If you enable the option they will see this tab and will be able to configure their services.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-288835a0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-2887e780-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Configure their schedule&nbsp;<\/strong>\u2013&nbsp;This option allows your employees to edit their own work hours and breaks. It is disabled by default, in which case employees will only see their profile and be able to edit their personal information. If you enable it, they will see a new tab in their profile dialog that allows them to edit their Work hours.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-2888d1e0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-288883c0-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Configure their days off&nbsp;<\/strong>\u2013 This option allows your employees to add their days off. It is disabled by default, so when you first install the plugin and connect employees with their employee role, they will not be able to see the Days off tab on their profile. If you enable this, your employees will see the Days Off tab on their profile, and they will be able to add their days off.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-28896e20-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-28892000-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Configure their special days&nbsp;<\/strong>\u2013 This option allows your employees to add their Special days. By default, it is disabled, so your employees will not see this option. Once you enable it, they will see a new tab on their profile, and they will be able to add days with special working hours and services on their own.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-288a0a60-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-2889bc40-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Manage<\/strong><strong>&nbsp;their appointments&nbsp;<\/strong>-This option allows your employees to add and\/or edit their own appointments. It is disabled by default, in which case employees will only be able to see their appointments on the Appointments page and Calendar. If you enable it, they will see the&nbsp;<strong>\u201cEdit\u201d<\/strong>&nbsp;option beside each appointment and they will also be able to create appointments on the&nbsp;<strong>\u201c+ New Appointment\u201d<\/strong>&nbsp;button.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-288acdb0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-288a5880-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Manage their events<\/strong>&nbsp;\u2013 This option allows your employees to add and\/or edit the events that are assigned to them. It is disabled by default, in which case employees will only be able to see the events on the Appointments page and on the Calendar page. If you enable it, they will see the&nbsp;<strong>\u201cEdit\u201d<\/strong>&nbsp;option beside each event and the&nbsp;<strong>\u201cAttendees\u201d<\/strong>&nbsp;option, so they can see the list of attendees that have booked the event.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-288cc980-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-288b69f0-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Enable Employee panel<\/strong>&nbsp;\u2013 This option allows you to add the employee panel to your front-end pages where employees will be able to login and see and manage their appointments and events, or their profile. When you enable this option you will see an additional option:&nbsp;<strong>Employee Panel Page URL&nbsp;<\/strong>where you should add the URL of the page where you added the employee panel shortcode. You can read more about setting up the Employee panel on the&nbsp;<a href=\"https:\/\/wpamelia.com\/front-end-employee-panel\/\" target=\"_blank\" rel=\"noreferrer noopener\">Front-end Employee panel page<\/a>.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading gutenify-section-5b888b80-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Customer&nbsp;<\/strong>tab has the following options:<\/h2>\n\n\n\n<ul class=\"gutenify-section-6a6245b0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a618260-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Check customer\u2019s name for existing email when booking &nbsp;<\/strong>\u2013 This option allows you to choose whether you want to check the customer\u2019s name for the provided email or not. By default, this option is enabled and your customers won\u2019t be able to use the same email for booking with different first and last name. If you don\u2019t want this, disable the option and your existing customers will be able to enter different information when they are booking with the same email.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a635720-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a62e1f0-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Automatically create Customer user&nbsp;&nbsp;<\/strong>\u2013 If this option is enabled, every time a new customer makes an appointment, they will automatically get a WordPress user with the  Customer user role and an email with login details from WP. That WP user would be connected to the customer created in the booking system. If someone is already a WordPress user and they book an appointment for the first time in the booking system while logged in to WP, the customer created in the booking system will be connected to that WP user, and they will get the Unity Hub Customer role in WP (there are plugins for managing multiple roles in WordPress, such as User role editor). This way, they will have the same login info for the Unity Hub customer panel and WordPress.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a644180-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"has-medium-font-size gutenify-section-6a63cc50-bc68-11ee-a6f8-7d07b9e1e3ef\" style=\"font-style:normal;font-weight:500\"><strong>Allow customers to reschedule their own appointments<\/strong>&nbsp;\u2013 This option allows you to choose if you want to allow your customers to reschedule their single appointments. By default, this option is disabled but once you enable it your customers will be able to reschedule their single appointments by&nbsp;<strong>drag and drop<\/strong>&nbsp;or&nbsp;<strong>Edit<\/strong>&nbsp;option in their Calendar. However, they cannot reschedule group appointments since this appointment is scheduled by several different customers.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a663d50-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a652be0-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Enable Customer panel<\/strong>&nbsp;\u2013 This option allows you to add the customer panel to your front-end pages where customers will be able to log in and see and manage their appointments or their profile. They will be able to cancel their appointments by default or reschedule them if you enable this option in the Roles settings. When you enable this option you will see four additional options below:&nbsp;<strong>Require password for login, Allow customers to delete their profile, Allow customers to cancel packages, and Customer Panel Page URL<\/strong>. You can read more about these options and setting up the Customer panel on the&nbsp;<a href=\"https:\/\/wpamelia.com\/front-end-customer-panel\/\" target=\"_blank\" rel=\"noreferrer noopener\">Front-end Customer panel page<\/a>.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a688740-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a681210-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Limit appointments per customer<\/strong>&nbsp;\u2013 By enabling this option, you can limit how many appointments a customer can book within a specific time frame and period.\n<ul class=\"gutenify-section-6a6775d0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a66d990-bc68-11ee-a6f8-7d07b9e1e3ef\">Configuring this will apply to all services, but you can configure limitations&nbsp;<strong>per service<\/strong>, by adjusting the limits through the&nbsp;<a href=\"https:\/\/wpamelia.com\/services-and-categories\/#limit-appointments-per-customer\" target=\"_blank\" rel=\"noreferrer noopener\">service settings.<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a6b1f50-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a6a8310-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Limit package purchases per customer<\/strong>&nbsp;\u2013 By enabling this option, you can limit how many packages a customer can book within a specific time frame and period.\n<ul class=\"gutenify-section-6a69bfc0-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a692380-bc68-11ee-a6f8-7d07b9e1e3ef\">Configuring this will apply to all packages, but you can configure limitations&nbsp;<strong>per package<\/strong>, by adjusting the limits through the&nbsp;<a href=\"https:\/\/wpamelia.com\/packages\/#package-details\" target=\"_blank\" rel=\"noreferrer noopener\">package settings.<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-6a6fda40-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-6a6d9050-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Limit events per customer<\/strong>&nbsp;\u2013 By enabling this option, you can limit how many events a customer can book within a specific time frame and period.\n<ul class=\"gutenify-section-6a6ccd00-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-c88564b0-bc68-11ee-a6f8-7d07b9e1e3ef\">Unlike&nbsp;<strong>Services<\/strong>&nbsp;and&nbsp;<strong>Packages<\/strong>, configuring limitations per customer,&nbsp;<strong>per individual events<\/strong>&nbsp;is not currently possible, so the limitations you configure through Roles settings will apply to&nbsp;<strong>all events<\/strong>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<div style=\"height:37px\" aria-hidden=\"true\" class=\"wp-block-spacer gutenify-section-de511320-bc68-11ee-a6f8-7d07b9e1e3ef\"><\/div>\n\n\n\n<div class=\"wp-block-cover gutenify-section-e36ff510-bc68-11ee-a6f8-7d07b9e1e3ef\" style=\"border-radius:2em;min-height:122px;aspect-ratio:unset;\"><span aria-hidden=\"true\" class=\"wp-block-cover__background has-nv-light-bg-background-color has-background-dim-100 has-background-dim\"><\/span><div class=\"wp-block-cover__inner-container is-layout-constrained wp-block-cover-is-layout-constrained\">\n<ul class=\"has-neve-link-hover-color-color has-text-color has-link-color gutenify-section-f13b2570-bc68-11ee-a6f8-7d07b9e1e3ef wp-block-list wp-elements-ceaac4dc642fb16b1a74eb0ee5894487\">\n<li class=\"gutenify-section-f1386650-bc68-11ee-a6f8-7d07b9e1e3ef\"><strong>Please note<\/strong>&nbsp;that the customer\u2019s email will be checked for applying the limit, so in order to use this feature, the customer\u2019s email needs to be a&nbsp;<strong>mandatory<\/strong>&nbsp;field in the front-end booking form.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div style=\"height:26px\" aria-hidden=\"true\" class=\"wp-block-spacer gutenify-section-fe5e2ef0-bc68-11ee-a6f8-7d07b9e1e3ef\"><\/div>\n\n\n\n<ul class=\"gutenify-section-455488e0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-45535060-bc69-11ee-a6f8-7d07b9e1e3ef\">The screenshot below applies to&nbsp;<strong>Appointment&nbsp;<\/strong>and&nbsp;<strong>Event<\/strong>&nbsp;bookings. The limit for package purchases does not include the&nbsp;<strong>Time period is calculated from&nbsp;<\/strong>section since package bookings apply only to the&nbsp;<strong>Booking date and time<\/strong>.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter gutenify-section-4556abc0-bc69-11ee-a6f8-7d07b9e1e3ef\"><img decoding=\"async\" src=\"https:\/\/wpamelia.com\/wp-content\/uploads\/2022\/11\/Screenshot-from-2022-11-17-10-33-01.png\" alt=\"limit-appointments-per-customer\" title=\"limit-appointments-per-customer\" \/><\/figure><\/div>\n\n\n<ul class=\"gutenify-section-5d9fb640-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5d9ea4d0-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Number of appointments\/packages\/events<\/strong>&nbsp;\u2013 This defines the number of appointments\/packages\/events the customer will be able to book when the limit is enabled.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-5da311a0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5da22740-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Time frame<\/strong>&nbsp;\u2013 You can define the limitation per hour, day, week, month, or year.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-5da645f0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5da582a0-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Period<\/strong>&nbsp;\u2013 The period of the previously selected time frame when the limitation will apply.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-5da9c860-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5da90510-bc69-11ee-a6f8-7d07b9e1e3ef\">T<strong>ime period is calculated from&nbsp;<\/strong>\u2013 There are two options when the logic will apply:<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-5dad71e0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5dac6070-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Booking date and time<\/strong>&nbsp;\u2013 Selecting this option will set the limit based on the date&nbsp;<strong>when the booking is created<\/strong>, regardless of the appointment\/event\u2019s date and time.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-5db62470-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-5db14270-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Appointment date and time\/Event start date and time&nbsp;<\/strong>\u2013 Selecting this option will set the limit based on the appointment scheduled date\/event\u2019s start date and time.<\/li>\n<\/ul>\n\n\n\n<p class=\"gutenify-section-702e3b10-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Example<\/strong>:<\/p>\n\n\n\n<p class=\"has-neve-link-hover-color-background-color has-background gutenify-section-7030ac10-bc69-11ee-a6f8-7d07b9e1e3ef\">EXAMPLE:  Limiting the customer bookings as shown in the screenshot above will allow a single customer to book&nbsp;<strong>2 appointments<\/strong>&nbsp;within a period of&nbsp;<strong>1 day<\/strong>. The limitation will apply 24 hours from the time the customer&nbsp;<strong>booked the appointment<\/strong>.<\/p>\n\n\n\n<div style=\"height:38px\" aria-hidden=\"true\" class=\"wp-block-spacer gutenify-section-7be75450-bc69-11ee-a6f8-7d07b9e1e3ef\"><\/div>\n\n\n\n<ul class=\"gutenify-section-8787b570-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-8786a400-bc69-11ee-a6f8-7d07b9e1e3ef\">Since limiting the number of appointments\/packages\/events per customer checks the customer\u2019s email address, the customers will be able to select the time slot and get to the&nbsp;<strong>Your Information<\/strong>&nbsp;step, where they enter their details. That\u2019s when Unity Bookings checks the email and applies the limitation, so the customers will only see one of the three error messages:<\/li>\n\n\n\n<li class=\"gutenify-section-877fed40-bc69-11ee-a6f8-7d07b9e1e3ef\">\u201c<strong>Time slot is unavailable<\/strong>\u201d (for appointment bookings)<\/li>\n\n\n\n<li class=\"gutenify-section-8780feb0-bc69-11ee-a6f8-7d07b9e1e3ef\">\u201c<strong>Booking is unavailable<\/strong>\u201d (for package bookings)<\/li>\n\n\n\n<li class=\"gutenify-section-87823730-bc69-11ee-a6f8-7d07b9e1e3ef\">\u201c<strong>Event booking is unavailable<\/strong>\u201d (for event bookings)<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter is-resized gutenify-section-8789d850-bc69-11ee-a6f8-7d07b9e1e3ef\"><img decoding=\"async\" src=\"https:\/\/wpamelia.com\/wp-content\/uploads\/2022\/11\/Screenshot-from-2022-11-17-12-19-22.png\" alt=\"limit-error-messages\" style=\"width:630px;height:auto\" title=\"limit-error-messages\" \/><\/figure><\/div>\n\n\n<ul class=\"gutenify-section-879040f0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-878dcff0-bc69-11ee-a6f8-7d07b9e1e3ef\">This is done on purpose since the use cases can vary. Some businesses don\u2019t want the customers to know that the number of appointments\/packages\/events they can book is limited, so having a simple notice like the one above should suffice.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-a5eee970-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-a5edff10-bc69-11ee-a6f8-7d07b9e1e3ef\">If you want your customers to know that the number of appointments\/packages\/events they can book is limited, you can add a simple text block above the form, explaining how the limitation works, so they either don\u2019t try to book the time slots in the defined time period, or they understand why there\u2019s an \u201cunavailable\u201d message in the form.<\/li>\n<\/ul>\n\n\n\n<ul class=\"gutenify-section-a5f0be30-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-a5efd3d0-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Enable No-show tag<\/strong>&nbsp;\u2013 Once you enable this option, all customers who had appointments marked as \u201cNo Show\u201d in the past will be seen differently in the \u201cAppointments\u201d section, and the Customer\u2019s profile (in the \u201cCustomers\u201d) section. A gray tag indicates the customer who failed to show up once; a yellow tag indicates the customer who failed to show up twice; and the red tag indicates the customer who failed to show up 3 or more times:<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter is-resized gutenify-section-a5f503f0-bc69-11ee-a6f8-7d07b9e1e3ef\"><img decoding=\"async\" src=\"https:\/\/wpamelia.com\/wp-content\/uploads\/2023\/11\/no-show.png\" alt=\"no-show\" style=\"width:620px;height:auto\" title=\"no-show\" \/><\/figure><\/div>\n\n\n<p class=\"gutenify-section-c695d440-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Admin&nbsp;<\/strong>tab has the following options:<\/p>\n\n\n\n<ul class=\"gutenify-section-c696bea0-bc69-11ee-a6f8-7d07b9e1e3ef wp-block-list\">\n<li class=\"gutenify-section-c9f022d0-bc69-11ee-a6f8-7d07b9e1e3ef\"><strong>Allow admin to book appointment at any time<\/strong>&nbsp;\u2013 This option allows you to choose if you want to allow the admin of the website to schedule appointments in the back-end at any time they want \u2013 without any restrictions regarding employees\u2019 work hours, days off or special days.
