Once you have completed your employee(s) and service(s) setup, your clients will be ready to start booking appointments. In order to schedule an appointment, you or your customer need to choose a service, an employee that will provide the service, available date, and available time slot.<\/p>\n\n\n\n<p class=\"gutenify-section-eea2c650-bc73-11ee-bbb0-396bcf4c3cc2\"><strong>Content<\/strong><\/p>\n\n\n\n<p class=\"gutenify-section-eea44cf0-bc73-11ee-bbb0-396bcf4c3cc2\">Appointment statuses<br>Duration<br>Buffer time<br>Price<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-06a3f260-bc74-11ee-bbb0-396bcf4c3cc2\" id=\"understanding-appointments\">Understanding appointments<\/h3>\n\n\n\n<p class=\"gutenify-section-06a44080-bc74-11ee-bbb0-396bcf4c3cc2\">There are&nbsp;<strong>two different types<\/strong>&nbsp;of appointments each of which is&nbsp;<strong>based on the maximum capacity<\/strong>&nbsp;of the service that is delivered. An appointment is considered as a&nbsp;<strong>\u201cSingle\u201d<\/strong>&nbsp;appointment if the maximum capacity of the service is 1. If the maximum capacity is higher than 1, the appointment is considered as&nbsp;<strong>\u201cGroup\u201d<\/strong>. There are two types of group appointments:<\/p>\n\n\n\n<ul class=\"gutenify-section-06a57900-bc74-11ee-bbb0-396bcf4c3cc2 wp-block-list\">\n<li class=\"gutenify-section-06a4b5b0-bc74-11ee-bbb0-396bcf4c3cc2\"><strong>Group appointments<\/strong>&nbsp;where all customers are separate (usually the case when they don\u2019t know one another).<\/li>\n\n\n\n<li class=\"gutenify-section-06a503d0-bc74-11ee-bbb0-396bcf4c3cc2\"><strong>Group appointments<\/strong>&nbsp;where one customer defines a number of persons that are coming with him or her.<\/li>\n<\/ul>\n\n\n\n<p class=\"gutenify-section-06a5c720-bc74-11ee-bbb0-396bcf4c3cc2\">The main difference between these two is that in the first one every person appears in the appointment separately, with all details defined, such as name, email, appointment status, payment details, etc.; this means that any person can cancel his\/her participation in the appointment separately.<\/p>\n\n\n\n<p class=\"gutenify-section-06a61540-bc74-11ee-bbb0-396bcf4c3cc2\">The situation with the second type of group appointments is that only the person who has scheduled the appointment has a name, email, appointment status, and payment details. The others are seen as +1.. +10 \u201caddition\u201d. So if one of them decides to cancel his or her participation in the appointment, there are two options: either they will cancel for all, or you need to reduce the number of persons in the&nbsp;<strong>\u201cEdit Appointment\u201d<\/strong>&nbsp;dialog.<\/p>\n\n\n\n<p class=\"gutenify-section-06a63c50-bc74-11ee-bbb0-396bcf4c3cc2\">Each appointment can be made through one of three booking forms in the regular process or through the WooCommerce checkout if you want to use some other payment method, connect WooCommerce invoices, or include taxes.<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-06a68a70-bc74-11ee-bbb0-396bcf4c3cc2\" id=\"appointment-statuses\">Appointment statuses<\/h3>\n\n\n\n<p class=\"gutenify-section-06a6b180-bc74-11ee-bbb0-396bcf4c3cc2\">Statuses are the appointment state indicator, that indicates whether the arrangement is approved, pending, canceled by customers, or rejected by the employees.<\/p>\n\n\n\n<p class=\"gutenify-section-06a726b0-bc74-11ee-bbb0-396bcf4c3cc2\">Currently, there are 4 statuses:<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-center has-nv-c-1-background-color has-background has-medium-font-size gutenify-section-2ce075c0-bc74-11ee-bbb0-396bcf4c3cc2\" style=\"padding-top:var(--wp--preset--spacing--20);padding-right:0;padding-bottom:var(--wp--preset--spacing--20);padding-left:0\"><br>APPROVED<\/h2>\n\n\n\n<p class=\"gutenify-section-06a74dc0-bc74-11ee-bbb0-396bcf4c3cc2\">In the plugin General Settings, you can set for all your appointments to have an Approved or a Pending status by default. If you choose Approved, all appointments will be automatically confirmed to the customer immediately after the scheduling.  This is the default setting that will be configured for you. Should you need it changed please log a ticket.<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-center has-background has-medium-font-size gutenify-section-55f34aa0-bc74-11ee-bbb0-396bcf4c3cc2\" style=\"background-color:#e3d319\">PENDING<\/h2>\n\n\n\n<p class=\"gutenify-section-06a7ea00-bc74-11ee-bbb0-396bcf4c3cc2\">If you choose Pending, you will need to manually approve all appointments after they are scheduled. The appointments can be approved by the administrator and by the manager, and if you enable notification for this action, both employee and customer will get informed about this action.<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-center has-nv-c-2-background-color has-background has-medium-font-size gutenify-section-871802b0-bc74-11ee-bbb0-396bcf4c3cc2\">CANCELED<\/h2>\n\n\n\n<p class=\"gutenify-section-06a8ad50-bc74-11ee-bbb0-396bcf4c3cc2\">Cancel status allows your customers to cancel the appointments through the back-end of the plugin. Once they log in, on the Appointments list they will see the Cancel button beside each future appointment. After they cancel the appointment on your list will get display Cancelled. If cancel notifications are enabled your employee will also be informed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-center has-background has-medium-font-size gutenify-section-93b1df00-bc74-11ee-bbb0-396bcf4c3cc2\" style=\"background-color:#c8c8c8\">REJECTED<\/h2>\n\n\n\n<p class=\"gutenify-section-06a997b0-bc74-11ee-bbb0-396bcf4c3cc2\">The Rejected status allows Admin, Manager, and Employee users  the option to Reject Approved or Pending appointments. You can also set a notification for this action, so once the appointment is rejected, both customer and employee will receive an email notification.<\/p>\n\n\n\n<p class=\"gutenify-section-06a9e5d0-bc74-11ee-bbb0-396bcf4c3cc2\">You have two possibilities for changing appointment statuses: you can change it directly through the appointments page, or you can open the appointments dialog and change the status. For the first option, on the appointments list, click on the&nbsp;<strong>appointment status<\/strong>&nbsp;drop-down and change the status. For the second option, click the&nbsp;<strong>edit<\/strong>&nbsp;button beside the appointment, the Appointment dialog will open. Click on the&nbsp;<strong>status<\/strong>&nbsp;button, and you will see a drop-down where you will be able to choose a new status. The main difference between these two is that in group bookings, by clicking on the first option you are changing the appointment&nbsp;status for all members of the appointment, while the second option allows you to change the status for each member separately.<\/p>\n\n\n\n<p class=\"gutenify-section-06aa33f0-bc74-11ee-bbb0-396bcf4c3cc2\">On the appointments page, you will see a&nbsp;<strong>status filter<\/strong>&nbsp;so at any point you can filter your list to see appointments with one specific status.<\/p>\n\n\n\n<h2 class=\"wp-block-heading has-text-align-center has-background has-medium-font-size gutenify-section-d9f9f790-bc74-11ee-bbb0-396bcf4c3cc2\" style=\"background-color:#83bbd0\">NO SHOW<\/h2>\n\n\n\n<p class=\"gutenify-section-06ab1e50-bc74-11ee-bbb0-396bcf4c3cc2\">When this option is enabled, all customers who had appointments in the past marked as \u201cNo Show\u201d, will have a Tag (different color across their names) in the Customer\u2019s profile and in the Appointments section. A gray tag indicates the customer who failed to show up once; a yellow tag indicates the customer who failed to show up twice; and the red tag indicates the customer who failed to show up 3 or more times. You can find more information on this&nbsp;<a href=\"https:\/\/wpamelia.com\/roles-settings\/#no-show\"><em><strong>link<\/strong><\/em><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-06ab6c70-bc74-11ee-bbb0-396bcf4c3cc2\" id=\"appointment-duration\">Duration<\/h3>\n\n\n\n<p class=\"gutenify-section-06ab9380-bc74-11ee-bbb0-396bcf4c3cc2\">Appointments\u2019 duration&nbsp;<strong>depends mainly on the service duration<\/strong>, and also on the&nbsp;<strong>duration of any added extras<\/strong>. If, for example, you have a service that lasts 2 hours together with an extra service that takes an additional 30 minutes, if your customer chooses the extra service, he or she will see 2 and a half time slots when they choose a time slot for their&nbsp;appointment. If they choose a service without an extra, the duration of the appointment will be the same as the service duration (2 hours).<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-06abe1a0-bc74-11ee-bbb0-396bcf4c3cc2\" id=\"appointment-buffer-time\"><strong>Buffer time<\/strong><\/h3>\n\n\n\n<p class=\"gutenify-section-06ac2fc0-bc74-11ee-bbb0-396bcf4c3cc2\">Buffer time (before and after), that you\u2019ve set when you configured services, is the time that&nbsp;<strong>doesn\u2019t affect appointments duration<\/strong>&nbsp;but&nbsp;<strong>reduces the number of free time slots in the schedule<\/strong>. If, for example, you have configured a&nbsp;<strong>30 minutes buffer time<\/strong>&nbsp;<strong>before<\/strong>&nbsp;for the service that lasts 4 hours, your customer will see 4 hour time slots during their booking, but they won\u2019t see the 30 minutes buffer in the time slot. The next time someone tries to book the same service for the same employee, the next suggested slot will appear 30 minutes after the first appointment finishes.<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-06ac7de0-bc74-11ee-bbb0-396bcf4c3cc2\" id=\"appointment-price\"><strong>Price<\/strong><\/h3>\n\n\n\n<p class=\"gutenify-section-06af15f0-bc74-11ee-bbb0-396bcf4c3cc2\">The appointment price&nbsp;<strong>depends on the service price, the extras price, and the number of customers.<\/strong>&nbsp;Price is calculated with a \u201c<strong>service price+extra price<\/strong>\u201d formula, and both are multiplied for every additional customer in the group appointment. Please note that you can set a different price for each employee, so the appointment price can depend on which employee is chosen.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>An appointment is an arrangement that one or more customers make when they book a service that is delivered by one of your employees.
