There are three different times when notifications can be sent:<\/p>\n\n\n\n<ol class=\"gutenify-section-6bf4a050-bc7a-11ee-91e9-ab42c9fb4602 wp-block-list\">\n<li class=\"gutenify-section-6bf3b5f0-bc7a-11ee-91e9-ab42c9fb4602\">Right after an event is triggered.<\/li>\n\n\n\n<li class=\"gutenify-section-6bf40410-bc7a-11ee-91e9-ab42c9fb4602\">At the scheduled specified time after the appointment.<\/li>\n\n\n\n<li class=\"gutenify-section-6bf45230-bc7a-11ee-91e9-ab42c9fb4602\">At the scheduled specified time of the day.<\/li>\n<\/ol>\n\n\n\n<p class=\"gutenify-section-6bf626f0-bc7a-11ee-91e9-ab42c9fb4602\">For the 2. and 3. notifications types, it is necessary to set up a cron job on your server. You can see below how to configure these notifications.<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-ac14f270-bc7a-11ee-91e9-ab42c9fb4602\">Appointment Notifications<\/h3>\n\n\n\n<p class=\"gutenify-section-ac158eb0-bc7a-11ee-91e9-ab42c9fb4602\">Notifications are divided into two tabs:<\/p>\n\n\n\n<ul class=\"gutenify-section-ac16ee40-bc7a-11ee-91e9-ab42c9fb4602 wp-block-list\">\n<li class=\"gutenify-section-ac1603e0-bc7a-11ee-91e9-ab42c9fb4602\"><strong>To Customer<\/strong>&nbsp;\u2013&nbsp; notifications you can enable\/disable for sending to the customer, and<\/li>\n\n\n\n<li class=\"gutenify-section-ac165200-bc7a-11ee-91e9-ab42c9fb4602\"><strong>To Employee<\/strong>&nbsp;\u2013&nbsp; notifications you can enable\/disable for sending to the employee.<\/li>\n<\/ul>\n\n\n\n<p class=\"gutenify-section-ac176370-bc7a-11ee-91e9-ab42c9fb4602\">For appointment notifications, five notification types are the same for customers and employees: Appointment Approved, Appointment Pending, Appointment Rejected, Appointment Canceled and Appointment Rescheduled, and three are only available for the customer: Appointment Next Day Reminder, Appointment Follow Up and Birthday Greeting. We will briefly explain each of them.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-ac17d8a0-bc7a-11ee-91e9-ab42c9fb4602\">Appointment Approved<\/h4>\n\n\n\n<p class=\"gutenify-section-ac19ad60-bc7a-11ee-91e9-ab42c9fb4602\">This email message will be sent right after your customer finishes the booking procedure, or after an appointment is created from the back-end of the plugin, if the default status of your appointment is Approved. This notification is available for both \u2013 the customer and the employee, but you can uncheck one of them if you don\u2019t want it to be sent to both.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e2bf2a0-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Pending<\/h4>\n\n\n\n<p class=\"gutenify-section-1e2d7940-bc7b-11ee-91e9-ab42c9fb4602\">This email will be sent when the appointment is created but with a Pending status. You can set your \u201cDefault Appointment Status\u201d as Pending, so every time a new appointment is created this email will be sent. The appointment will get a Pending status, so you will need to manually confirm it in the back-end of the plugin.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e2e1580-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Rejected<\/h4>\n\n\n\n<p class=\"gutenify-section-1e2e8ab0-bc7b-11ee-91e9-ab42c9fb4602\">This email is sent after the appointment is rejected. By default, an appointment can be rejected by the administrator or the manager. However, you can give permissions to the employees to reject their appointments by enabling the&nbsp;<strong>Allow employees managing their appointments<\/strong>&nbsp;option in General Settings. So, once the appointment is rejected the customer or employee will get an email about this action.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e2effe0-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Canceled<\/h4>\n\n\n\n<p class=\"gutenify-section-1e2f7510-bc7b-11ee-91e9-ab42c9fb4602\">This email will be sent after your customer cancels the appointment. The Cancel option is available for customers at the back-end of the plugin and through the cancel URL link in email, so once the customer cancels the appointment an email about this action will be sent to your customer and\/or employee.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e2fea40-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Details Changed<\/h4>\n\n\n\n<p class=\"gutenify-section-1e305f70-bc7b-11ee-91e9-ab42c9fb4602\">This email will be sent after the appointment details change:<\/p>\n\n\n\n<ul class=\"gutenify-section-1e32f780-bc7b-11ee-91e9-ab42c9fb4602 wp-block-list\">\n<li class=\"gutenify-section-1e30fbb0-bc7b-11ee-91e9-ab42c9fb4602\">The assigned employee was changed;<\/li>\n\n\n\n<li class=\"gutenify-section-1e3170e0-bc7b-11ee-91e9-ab42c9fb4602\">The location changed;<\/li>\n\n\n\n<li class=\"gutenify-section-1e325b40-bc7b-11ee-91e9-ab42c9fb4602\">The extras included were changed.<\/li>\n<\/ul>\n\n\n\n<p class=\"gutenify-section-1e336cb0-bc7b-11ee-91e9-ab42c9fb4602\">This email is automatically sent if anything related to the details of the appointment has been changed, and if this email notification is enabled. If you change the date and\/or the time, the&nbsp;<strong>Appointment Rescheduled<\/strong>&nbsp;email template will be sent.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e3408f0-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Rescheduled<\/h4>\n\n\n\n<p class=\"gutenify-section-1e347e20-bc7b-11ee-91e9-ab42c9fb4602\">By default, the administrator and the manager can move the appointment in the calendar or edit the date and time in the&nbsp;<strong>\u201cEdit appointment\u201d<\/strong>&nbsp;dialog. You can also give permissions to the employees to reject their appointments by enabling the option in General Settings. Either way, once you enable this notification, every time when the date and\/or time details of the appointment changes the email will be sent.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e351a60-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Next Day Reminder<\/h4>\n\n\n\n<p class=\"gutenify-section-1e35ddb0-bc7b-11ee-91e9-ab42c9fb4602\">With this notification, you can remind your customer or employee about a next day appointment. On the upper right side of the page, you will see an option&nbsp;<strong>Scheduled For&nbsp;<\/strong>where you can choose a time when this notification will be sent. Once you\u2019ve chosen the time and message, click on the Save button, otherwise,&nbsp;the chosen notification time will not be saved.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e36a100-bc7b-11ee-91e9-ab42c9fb4602\">Appointment Follow Up<\/h4>\n\n\n\n<p class=\"gutenify-section-1e373d40-bc7b-11ee-91e9-ab42c9fb4602\">This is one of the two notifications available only to the customer. With this notification, you can send a follow-up email to thank your customer for coming or give some additional information. On the upper right side of the page, you will see an option to choose a time and schedule for this email. If you choose 1 hour, for example, the email will be sent to your customer 1 hour after the appointment. When you\u2019ve finished configuring the notification, click&nbsp;<strong>Save<\/strong>&nbsp;and your notification message will be saved for sending.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e37d980-bc7b-11ee-91e9-ab42c9fb4602\">Package Purchased<\/h4>\n\n\n\n<p class=\"gutenify-section-1e389cd0-bc7b-11ee-91e9-ab42c9fb4602\">This notification sends out the details about the package that was purchased. In order to provide the details about the appointments that were booked during the purchase of the package, you\u2019ll need to click on the \u201cConfigure Placeholder here\u201d text in the bottom right below the template and then paste the %package_appointments_details% placeholder in the body of the template.<\/p>\n\n\n\n<p class=\"gutenify-section-1e396020-bc7b-11ee-91e9-ab42c9fb4602\">When configuring this placeholder, you can use appointment-related placeholders like %appointment_date%, %appointment_time%, %zoom_join_url%, and so on.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e39fc60-bc7b-11ee-91e9-ab42c9fb4602\">Package Canceled<\/h4>\n\n\n\n<p class=\"gutenify-section-1e3abfb0-bc7b-11ee-91e9-ab42c9fb4602\">This notification is triggered when the package has been canceled.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e3b5bf0-bc7b-11ee-91e9-ab42c9fb4602\">Birthday Greeting<\/h4>\n\n\n\n<p class=\"gutenify-section-1e3bf830-bc7b-11ee-91e9-ab42c9fb4602\">With this email, you can congratulate your customer on their birthday. To be able to send this email you need to have filled in the<strong>&nbsp;Date of Birth<\/strong>&nbsp;option in the customer\u2019s dialog. Choose a birthday greeting text and a time in&nbsp;the&nbsp;<strong>Scheduled For<\/strong>&nbsp;option when this email will be sent and click&nbsp;<strong>Save<\/strong>&nbsp;to keep your settings.<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-1e3cbb80-bc7b-11ee-91e9-ab42c9fb4602\">Events notifications<\/h3>\n\n\n\n<p class=\"gutenify-section-1e3d7ed0-bc7b-11ee-91e9-ab42c9fb4602\">When it is about events, five notification types are the same for customers and employees: Event Booked, Event Canceled by Admin, Event Canceled by Attendee, Event Rescheduled, and Event Next Day Reminder; and Event Follow up is only available for the customer.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e3e1b10-bc7b-11ee-91e9-ab42c9fb4602\"><strong>Event Booked<\/strong><\/h4>\n\n\n\n<p class=\"gutenify-section-1e3eb750-bc7b-11ee-91e9-ab42c9fb4602\">This email message will be sent right after your attendee finishes the booking procedure. The notification is available for both \u2013 the customer and the employee, but you can uncheck one of them if you don\u2019t want it to be sent to both.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e3f2c80-bc7b-11ee-91e9-ab42c9fb4602\"><strong>Event Canceled By Admin<\/strong><\/h4>\n\n\n\n<p class=\"gutenify-section-1e3fefd0-bc7b-11ee-91e9-ab42c9fb4602\">This email message will be sent after the admin cancels the event. The notification is available for both \u2013 the customer and the employee, but you can uncheck one of them if you don\u2019t want it to be sent to both.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e40b320-bc7b-11ee-91e9-ab42c9fb4602\"><strong>Event Canceled By Attendee<\/strong><\/h4>\n\n\n\n<p class=\"gutenify-section-1e417670-bc7b-11ee-91e9-ab42c9fb4602\">This email message will be sent after the attendee cancels the event. At the moment, the notification will be sent only to the attendee as approval of his cancellation. The employee will receive the notification only when the whole event is canceled, not for each attendee.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e4239c0-bc7b-11ee-91e9-ab42c9fb4602\">Event Details Changed<\/h4>\n\n\n\n<p class=\"gutenify-section-1e42fd10-bc7b-11ee-91e9-ab42c9fb4602\">This email will be sent after the Event details changed. Regardless of what the change was:<\/p>\n\n\n\n<ul class=\"gutenify-section-1e46cda0-bc7b-11ee-91e9-ab42c9fb4602 wp-block-list\">\n<li class=\"gutenify-section-1e43e770-bc7b-11ee-91e9-ab42c9fb4602\">The organizer or the staff (employee) was changed;<\/li>\n\n\n\n<li class=\"gutenify-section-1e44aac0-bc7b-11ee-91e9-ab42c9fb4602\">The date was changed;<\/li>\n\n\n\n<li class=\"gutenify-section-1e456e10-bc7b-11ee-91e9-ab42c9fb4602\">The time was changed;<\/li>\n\n\n\n<li class=\"gutenify-section-1e463160-bc7b-11ee-91e9-ab42c9fb4602\">The location was changed<\/li>\n<\/ul>\n\n\n\n<p class=\"gutenify-section-1e4790f0-bc7b-11ee-91e9-ab42c9fb4602\">This email is automatically sent if anything related to the event has been changed, and if this email notification is enabled.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e487b50-bc7b-11ee-91e9-ab42c9fb4602\">Event Rescheduled<\/h4>\n\n\n\n<p class=\"gutenify-section-1e4a5010-bc7b-11ee-91e9-ab42c9fb4602\">This email will be sent if the Event was rescheduled and moved to a different date and\/or time.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e4bfdc0-bc7b-11ee-91e9-ab42c9fb4602\"><strong>Event Next Day Reminder<\/strong><\/h4>\n\n\n\n<p class=\"gutenify-section-1e4e6ec0-bc7b-11ee-91e9-ab42c9fb4602\">With this notification, you can remind your customer and\/or employee about an event that happens the next day.&nbsp;On the upper right side of the page, you will see an option Scheduled For where you can choose a time when this notification will be sent. Once you\u2019ve chosen the time and message, click on the Save button, otherwise, the chosen notification time will not be saved.<\/p>\n\n\n\n<h4 class=\"wp-block-heading gutenify-section-1e4f8030-bc7b-11ee-91e9-ab42c9fb4602\"><strong>Event Follow up<\/strong><\/h4>\n\n\n\n<p class=\"gutenify-section-1e506a90-bc7b-11ee-91e9-ab42c9fb4602\">As the appointment follow-up, you will use the Event Follow up to thank your attendee for coming or give some additional information. On the upper right side of the page, you will see an option to choose a time and schedule for this email. If you choose 1 hour, for example, the email will be sent to your attendees 1 hour after the appointment. When you\u2019ve finished configuring the notification, click&nbsp;<strong>Save<\/strong>&nbsp;and your notification message will be saved for sending.<\/p>\n\n\n\n<h3 class=\"wp-block-heading gutenify-section-1e5106d0-bc7b-11ee-91e9-ab42c9fb4602\" id=\"configuring-notifications\">Configuring Notifications<\/h3>\n\n\n\n<p class=\"gutenify-section-1e51ca20-bc7b-11ee-91e9-ab42c9fb4602\">To set up notifications you must first configure\u00a0<a href=\"https:\/\/wpamelia.com\/notification-settings\/\">\u201cNotification Settings\u201d<\/a>\u00a0on the Wellness Unity Booking Settings page. Settings that are mandatory are\u00a0<strong>\u201cSender Name\u201d\u00a0<\/strong>and\u00a0<strong>\u201cSender Email\u201d<\/strong>. By default, Mail Service is set to\u00a0<strong>\u201cPHP Mail\u201d<\/strong>\u00a0but we strongly recommend changing to another mail server.<\/p>\n\n\n\n<p class=\"gutenify-section-1e546230-bc7b-11ee-91e9-ab42c9fb4602\">Each notification is enabled by default and it is possible to disable notifications if you want to prevent them from being sent. Also, it comes with the default&nbsp;<strong>\u201cSubject\u201d<\/strong>&nbsp;and&nbsp;<strong>\u201cMessage\u201d<\/strong>&nbsp;that can be changed. In the \u201cSubject\u201d and in the \u201cMessage\u201d it is possible to use placeholders. Click on the&nbsp;<strong>Show Email Codes<\/strong>&nbsp;button on the upper right side of the Notifications page and a dialog with placeholders will appear. Choose the one you need, click on it, the placeholder will be copied, after which you will paste it into the text area.
